Settings, Security, Calendar & LINE

Password, two-factor sign-in, calendar, LINE, reservation email, and the features you switch yourself

Open Settings in the sidebar. Only the owner sees this page. At the very top is the Activity log card with the button “Open activity log” (Chapter 23), followed by the cards this chapter is about.

In the Security card, under Change password:

  1. Enter your current password.
  2. Enter the new password twice, at least 12 characters.
  3. If two-factor sign-in is on (16.2), a fourth field appears, “2FA code (6 digits)”. Enter the code from your app there.
  4. Press “Update password”.

The panel reports “✅ Password updated. Use it next time you log in.” If the new password is shorter than 12 characters or the two entries do not match, it says so before anything is saved.

With 2FA, signing in needs a six-digit code from an app on your phone, such as Google Authenticator, Authy or 1Password, on top of the password. The card shows the current state: “⚪ 2FA is off. Recommended for protecting guest data.” or “🟢 2FA is active. You enter a code only on new devices.”

  1. Press “Enable 2FA”. A box with two steps opens.
  2. On your phone, open “📲 Add to authenticator app”. The link adds your account straight to the app. On a computer, use the key below it instead (“…or enter this key manually:”) and type it into the app.
  3. Enter the six-digit code from the app and press “Verify & activate”.
  4. The panel reports “✅ 2FA is active.” and shows your recovery codes once. Keep them somewhere safe: each one works once if you lose your phone.

The two steps in the box are currently in English only (“On your phone, open the link …”, “Enter the 6-digit code from the app”).

From then on, you can tick “Trust this device for 90 days” when you sign in (Chapter 3). On that device the panel does not ask for the code for 90 days.

Enter your password in the field “Confirm with current password” and press “Disable 2FA”. The panel reports “2FA disabled.”

16.3 Google / iCloud / Outlook Calendar Integration

Section titled “16.3 Google / iCloud / Outlook Calendar Integration”

The Connect your calendar card links the booking system to your calendar. Every booking then appears in your calendar app, including the appointments you enter in the panel. In return, the miraBOOK calendar shows your own events with yellow stripes as External appointment, and guests cannot book those times.

A series such as “every Tuesday at 10:00” blocks every single occurrence. Events you mark as “free” in your calendar, and cancelled events, block no time. If an event sits in another time zone, the system converts it to your business’s time.

The card has three tabs: Google, Apple iCloud and Microsoft 365. Connect the service you use.

  1. On the Google tab, press “Connect Google Calendar”. The sentence above the button says what the connection may do.
  2. A Google sign-in page opens. Log in with the Google account whose calendar you want to use.
  3. Google asks for two permissions: to see when your calendar is busy, and to create and delete events in calendars you own. Leave both ticked and confirm. If one is missing, the panel tells you so and nothing is saved.
  4. Back in the panel it says “Google Calendar is connected.”, with the green line below it, for example “✓ Connected (calendar: main calendar)”.

What the system does with the connection: from your calendar it reads only when you are busy, not what the events say. It adds one event per booking and takes it out again when the booking is cancelled. It stores the access key, the busy times of the months guests can book, and the ID of each event it added.

To disconnect, press “Disconnect” and confirm. The system deletes the access key and the stored busy times and also ends the access at Google. Events it already added stay in your calendar. You can also remove the access yourself in your Google Account, on the page of linked apps (myaccount.google.com/linkedapps).

If the panel says the connection attempt has expired, press “Connect Google Calendar” again. An attempt is valid for ten minutes.

  1. On the Apple iCloud tab, enter your Apple ID under Apple ID (your iCloud address) and an app password from Apple below it. For another CalDAV provider such as FastMail or Nextcloud, change the Server URL as well. It is preset to caldav.icloud.com.
  2. Press “Connect iCloud Calendar”.
  3. If the account has several calendars, pick one under Which calendar?.
  4. A green line confirms the connection, for example “✓ Connected as you@icloud.com”, followed by the chosen calendar in brackets.
  1. On the Microsoft 365 tab, press “Connect Microsoft Calendar”. This works for Outlook.com and Microsoft 365 mailboxes.
  2. Sign in with your Microsoft account and approve the access.
  3. A green line shows which mailbox is connected (“✓ Connected as …”).

If a tab says “⚠ Not set up yet”, your account still lacks the access for that service. miraTEQ sets it up on request.

What your calendar receives, and for how long

Section titled “What your calendar receives, and for how long”

Each booking appears in your calendar with the guest’s name, email address, phone number and message, so you can call back before the appointment. On request, miraTEQ switches you to a lean entry without surname, email address, phone number and message.

Appointments you enter in the panel get the same entry as an online booking. A series or a group gets one entry per appointment, a couples booking one in the calendar of each of the two therapists. If you move an appointment, its entry moves with it. A stay (hotel, homestay) runs from the arrival day to the departure day.

When a booking reaches the end of its retention period (12 months after the appointment by default), the system deletes it and removes its calendar entry as well. Events you created yourself stay untouched. If the calendar is not connected at that moment, the system keeps trying and deletes the entry once the connection is back. The same goes for an appointment you cancel, delete or move while the calendar does not respond: the old entry disappears as soon as the calendar answers again.

The system reads your calendar when needed and keeps the result for five minutes. If the calendar does not respond or refuses access, for example because you deleted the app password at Apple, the last known state applies in the meantime. Times that were busy there stay blocked for guests.

During that time, new bookings arrive as requests, even if you normally confirm automatically. The guest sees “Request sent”, and you receive the booking with a note to check the time in your calendar before confirming. If a guest wants to move an appointment, the current one stays in place until the calendar responds again.

If an entry could not be created during that time, the system adds it on its own, at the latest one hour after the calendar responds again. This applies to every appointment that is still ahead.

At the first failure you get an email “Calendar not reachable” and, if set up, a push notification (Chapter 18.2). The email names the reason: “access was refused”, “the calendar does not respond” or “the calendar reports an error”. The calendar card then shows “⚠ Disrupted since …” with the same reason. If the calendar refuses access, disconnect it and connect it again, for iCloud with a new app password. A short outage at the provider usually resolves itself.

LINE is the messaging app most Thai guests use every day. miraBOOK works with it in three ways:

  • Sign in with LINE: guests sign in with LINE instead of typing their details (Chapter 2.6). Confirmations then arrive as a card in LINE.
  • Confirm from LINE: for every new booking your team receives a card in LINE and can accept or decline without opening the panel (Chapter 18.2).
  • Reminders and follow-ups: the reminder, rebooking and win-back (Chapter 11) reach guests who booked through LINE as a LINE card. The review request only comes by email.

In the contact details step there is the button “Sign in with LINE”, with “Or fill in your details below.” under it. After signing in, the guest reads “Signed in as” with their LINE name and “You’ll receive your confirmation on LINE automatically.”

After booking, the success page shows a LINE card. If miraTEQ has set up LINE confirmations, it is called “Booking confirmation on LINE”: the guest taps “Open in LINE” or scans the QR code, sends the prepared message and receives the confirmation as a card. Otherwise it is called “Add us on LINE” and leads to your business’s official LINE account. Guests booking in German see neither (Chapter 2.4).

The LINE Notifications card in Settings decides who gets a LINE message for every new booking. Below it is “How to add a new admin:” with these steps:

  1. Under Notify another person it says “Flip the switch to add someone.” Turn on the switch. It then says “Adding is open” and shows the ID of your LINE bot.
  2. The person adds the bot as a friend and sends it any message, for example “hi”.
  3. Their profile appears in the list. Turn on the switch in their row, and from then on they receive every new booking.

After 10 minutes without activity, adding closes by itself. If a person does not appear straight away, press “↻ Refresh”. The switch in a row stops that person’s messages, the × next to it removes them from the list completely after you confirm. miraTEQ sets up your business’s official LINE account and its keys. Until then the card says “⚠ Not set up yet”.

16.5 Reservation email and automatic confirmation

Section titled “16.5 Reservation email and automatic confirmation”

The Notifications card has a Reservation email field. New bookings go to this address, and replies from guests land there too. The sender address of your emails stays the same. After “Save email” the panel checks the spelling and, for a typo, reports “Please enter a valid email address.”

The Booking confirmation card holds the switch Automatically confirm new bookings. When it is on, every new booking counts as confirmed straight away, and the guest sees “Your appointment is booked!” at once (Chapter 2.4). When it is off, every booking waits for your approval. There is one exception: if your connected calendar cannot be read at that moment, the booking stays a request (16.3). The switch works without saving, and the panel reports “✓ New bookings are now confirmed automatically.” or “✓ New bookings now wait for your approval.”

16.6 Features: waitlist and choosing the person

Section titled “16.6 Features: waitlist and choosing the person”

The “Features” card says: “Turn extra features on and off yourself. Changes take effect immediately on the booking page.” It holds two switches:

Switch What it does
Waitlist When a preferred time is fully booked, guests can join the waitlist and get an email as soon as something opens up there (Chapters 2.2 and 10). The switch also shows or hides the Waitlist menu item.
Let guests choose Guests choose who they book with themselves, instead of being assigned automatically (Chapter 2.1). Useful once you have two or more people.

A switch takes effect at once, without saving. The panel confirms with “✓ Saved.” If something went wrong, the switch flips back and the panel reports “Could not save. Please try again.”

If you do not see this card, these features are not part of your package. Ask miraTEQ.
