New Booking (Manual Entry)

Enter an appointment for a guest who calls or walks in, also as a series or for several guests

When a guest calls or stands in front of you, enter the appointment yourself in the panel. Open New Booking in the sidebar, or tap a free spot in the calendar (Chapter 5.1); then the day, time and person are already filled in. The card is called Add booking manually:

Field Notes
Number of guests Only in businesses that take several guests at the same time. For two or more, see below.
Services The treatments to tick, with duration and price. Below them the total, for example “2 × Treatment · 90 min · €85.00”. Without a choice it says “Select at least one service”.
Provider The person or area, under the name your business uses. “Auto-assign” leaves the choice to the system, like “No preference” on the booking page.
Date Tapping “Pick a date” opens a calendar.
From The free start times of that day to choose from. Below it you see how many there are, for example “8 free slots”, or “No free slots” with the advice to try a different date or change availability.
Until Worked out by the panel from the duration of the services (“calculated automatically”).
Name The guest’s name, required.
Email (optional) “The customer’s address only. Leave it empty if there is none.” See below.
Phone (optional) Comes before or after the email, depending on the business.
Message (optional) A note about the appointment.
Status Confirmed is preset; choose Pending if the appointment is not fixed yet.

Press “Save booking”; the panel reports something like “Booking #48 created successfully.” If something is missing, it says “Please fill in all required fields (provider, date, time, name).” “Cancel” clears the form and takes you back to the page you came from. If a calendar is connected (Chapter 16.3), the appointment appears there too, just like an online booking.

As soon as there is an address in the Email field, the box “Send the guest a confirmation” appears below it, already ticked: “The same email as for an online booking, with a link to reschedule or cancel.” With the status Confirmed it is the booking confirmation, with Pending the message that their request has arrived (Chapter 18.1). Untick the box and no email goes out. After saving, the panel reports “Confirmation sent to …”.

  • If your booking page offers several languages, choose under “Email language” which language the guest gets. The reminder then comes in the same language.
  • For a series (see below) one single email goes out for the next appointment, listing all upcoming dates of the series.
  • An appointment that is already over gets no email, even with the box ticked: “No confirmation sent: the appointment is in the past.”
  • If the email cannot be sent, the appointment is still saved. The panel reports “The confirmation could not be sent. The appointment is saved; please let the guest know yourself.”
  • Several separate appointments (see below) are saved without an email address, so no confirmation goes out for them.

If reminders are on, the guest also gets the reminder before the appointment, again with the link.

Only ever enter the guest’s own address here. The panel refuses your business’s address with “That is your own email address. If the customer has no email, leave the field empty.” If an address already belongs to two or more other customers, it asks before saving. Families sometimes share an address, so you can confirm it; otherwise leave the field empty.

This matters because reminders go to this address. Typing your own address in means every reminder lands in your inbox, and the guest gets nothing.

Two guests: couples massage or two appointments

Section titled “Two guests: couples massage or two appointments”

Where you offer couples massages, exactly two guests bring up the choice Type of appointment:

Option What is saved
Couples massage “Same room, same treatment, couple price. Saved as one appointment with two therapists.” Treatments without a couple price cannot be ticked then.
Two separate appointments “Two independent appointments, each guest can get something different.” Each guest gets their own row, see below.

For a couples massage, leave the provider on “Auto-assign” and the system finds two who are free at that time. If you choose someone yourself, a second field 2nd therapist appears. Anyone already booked at that time is marked “not available” and cannot be chosen. Without the second person, the panel says “Please choose the second therapist.”

Only the owner can add a couples massage.

Several guests, each with their own appointment

Section titled “Several guests, each with their own appointment”

For separate appointments, and from three guests on, the section Multiple guests appears, with one row per guest: provider, treatment and name. Each row starts with “Auto-assign”. If you pick the same person for two guests, the panel says something like “Guest 2: This provider is already assigned to another guest.” The button then reads, for example, “Create 3 appointments”. All appointments start at the same time.

For regulars who come at the same time every week, for example, tick “Repeat appointment”: “Creates several appointments at the same rhythm, for example weekly at the same time.” This works for one guest with a fixed person. If the provider is set to automatic, the panel says “Please pick a specific team member. In a series the client should not see a different person every week.”

  1. Choose the Rhythm: Every week, Every 2 weeks or Every 4 weeks.
  2. Under Number of appointments, enter how many there should be, 2 to 26, preset to 10.
  3. Press “Check dates”. Under These appointments will be created each date is marked “free”, “taken” or “closed”. “Taken and closed dates are unticked. You can still tick them to book over.”
  4. Below that you see how many are selected, for example “9 of 10 selected”, and the button reads “Create 9 appointments”. Fewer than two are refused: “Please select at least 2 appointments.”

In the bookings list these appointments carry the tag Series (Chapter 6.1). When you cancel one there, you choose between “This one only” and “This and all future”. The second asks “Cancel this and all future appointments of this series? Earlier ones stay.”

Hotels and homestays: check-in and check-out

Section titled “Hotels and homestays: check-in and check-out”

If your business books rooms for one or more nights, the form asks for Check-in, Check-out and Guests instead of a time slot. The number of nights appears under the check-out date. Check-out is at least one night after check-in and moves along when you pick a later check-in. Check-in and check-out times come from your business’s settings, just like online.

If the room is already taken on one of those nights, the panel names the guest and their dates, for example “Booked by Anna Weber (12.10.2026 to 14.10.2026).” As the owner you can still add the stay. The same applies when more guests arrive than the room sleeps. That is right for an extra bed; otherwise choose a bigger room.

Treatments, couples massage, separate appointments and “Repeat appointment” do not exist for stays. The confirmation for the guest works as described above. With the link the guest can cancel the stay. They cannot move it themselves and contact you instead.
